Booking and reminders

By Brandon Aday, M.B.A. • Duration: 2 min • Type: reading

You'll be able to: let cleared prospective clients book themselves, and get them to show up.

Once a conflict clears, the fastest path to a consult is a booking link. The person picks a time that works for them, the calendar fills, and the card moves to Consult scheduled on its own. No phone tag.

Set up your calendar once:

  • Consult types and lengths per practice (a criminal consult may be 30 minutes, a family consult 60).
  • Your real availability, with buffers before court days.
  • Location or video link, and parking notes, in the confirmation.
  • Language: confirmations and reminders go in the language on the contact record.

Then the reminders do the work. A typical rhythm (illustrative): a confirmation right after booking, a reminder the day before, and a short reminder two hours before. Each one says when, where, and what to bring, and gives an easy way to reschedule. Day-before reminders respect quiet hours, so a reminder scheduled for 7 PM the night before is fine, and anything that would land after 8 PM waits until morning.

For practices where documents decide the consult (immigration especially), the reminders carry the document list. A consult where the person forgot the notice from immigration is a consult you have to do twice.

Do it in LegalCRM

  1. Open Calendars and create a consult calendar for each practice pack.
  2. Set availability, length, and buffers. Add your video link or address.
  3. Open the reminder workflow and approve the confirmation and reminders in both languages.
  4. Book a test consult with your personal email and phone. Check every message you receive.
