Retainers by source, attorney, and language

By Brandon Aday, M.B.A. • Duration: 15 min • Type: reading

You'll be able to: read the Practice plan's signed-retainer reporting and turn it into one decision a month.

Course 1's weekly numbers told one attorney whether intake was working. The Practice plan adds three cuts that matter once there is a team: signed retainers by source, by attorney, and by language.

By source. Where did the people who signed come from: the website form, chat, the voice agent, a referral, a directory listing, a specific ad. A source that brings many inquiries and few signatures is either the wrong audience or a broken handoff. Read it together with time-to-first-reply by source; slow replies on one channel look like a bad channel.

By attorney. Consults held and retainers signed per attorney. Use this carefully. Differences can reflect the matters each attorney is assigned, not skill. The useful questions are about process: is one attorney's consult-to-retainer time much longer, and does a follow-up sequence fix it?

By language. Inquiries, consults, and retainers in English and Spanish. If Spanish inquiries are strong and Spanish retainers lag, look at the steps between: is the document list clear in Spanish, is the Spanish-speaking attorney's calendar full, are Spanish consults being transferred without warning?

One decision a month. Reports that produce no decision are decoration. Each month, pick the single biggest gap and one change to test. Write it down with a date. Check it the next month.

Numbers in your first months are small. A difference of two retainers is noise. Look for gaps that hold for two or three months before acting on them.

Do it in LegalCRM

  1. Open the reporting dashboard and set the date range to the last full month.
  2. Read signed retainers by source, by attorney, and by language.
  3. For the weakest source, compare its time to first reply with the others.
  4. For language, compare each stage (inquiry, consult booked, consult held, retained) in English and Spanish.
  5. Write one decision and its check date in the firm's monthly notes.
