What crosses at Retained
You'll be able to: define which fields move from LegalCRM to the case management system when a matter signs, and who checks them.
LegalCRM runs intake from first contact to signed retainer. Your case management system (Clio, MyCase, Filevine, or another) runs the matter after that. The hand-off happens at Retained, and Group includes it, scoped per system, because each system accepts data differently.
Decide the field list before the integration is built. A typical list:
- Client: name, preferred language, phone, email, mailing address.
- Matter: practice area, matter type, office, responsible attorney, date signed.
- Conflict data: the opposing party and other parties named at intake, so the case management system's conflict records stay complete for future checks.
- Source: the marketing source and tracking number, so revenue can later be tied back to marketing.
- Key dates: any hearing date, filing deadline, or statute date captured at intake, flagged for attorney verification rather than trusted as entered.
What does not cross: the whole intake conversation, chat transcripts, voice recordings, and notes that were only useful for qualification. They stay in LegalCRM under its retention settings. Copying everything into the matter file feels thorough and mostly creates clutter and more places that hold confidential information (Rule 4-1.6).
Name a person who checks each hand-off for the first month: the matter opens with the right attorney, the right practice area, and the parties spelled correctly. After a clean month, check a sample instead.
Do it in LegalCRM
- Write the field list with your account manager; mark each field as required or optional.
- Confirm which LegalCRM field maps to which field in your case management system.
- Move one test record to Retained and check the result in the case management system.
Ask the Guide
Paste this into the AI guide, without client names or matter facts:
"We use [case management system]. Help me draft the field list for the hand-off at Retained, marking what should not cross."
